Reports 101

What are the functions of the icons on the reports?

Group Tree

Click this icon to show/hide group tree. Click the group name to go to the selected group page. Notes:

  1. When the tree displays, then a scroll bar also displays in the lower left corner of the screen that allowa you to scroll horizontally across the tree.
  2. When you hover your mouse over an item in the tree. the full name of the item displays at the bottom of the screen. this name may contain additional characters.
Export

Click this icon to export report data into various formats.

  1. Click export icon; A separate browser window appears to allow choices in file format and page range for export.
  2. Click OK in the browser window, a prompt window displays.
  3. Click Save at the prompt, a Save AS window displays.
  4. In the Save As window, Specify the folder in which you want to save the report, specify a file name, and then click Save, the report will be saved to your computer.
  5. Once the export process has been completed this window can be closed to go back to the original report.
Print

Click this icon to print a report.

Go to first page

Click this icon to go to first page.

Go to Previous page

Click this icon to go to previous page.

Go to next page

Click this icon to go to next page.

Go to last page

Click this icon to go to last page.

Go to page

This icon allows you to go directly to a specific page of the report. Type a number in the text box next this icon, and then click the icon, the selected page displays.

Search for text

This icon allows you to search for selected text. Type the text that you want to find in the text box next this icon, and then click the icon, the page with the selected text dispalys.

Report Help

Click this icon to view the report documentation. A separate browser window will appear with report definitions, methodology and data source(s). This window can be closed to return to the original report.

View report group   Click to select report group for viewing. The dropdown list of the Report Group is similar to the group tree in that it provides a method to go directly to a specific part of the report. The group types vary by report, but typical examples include school year, institution type, and district name. Main Report is the default group type that is available on every report and includes the entire report. To include other groups in the dropdown list of the Report Group, use the Next Page icon to locate the group type that you want to add and double-click the name of the group type. The selected group type is now available in the dropdown list; selecting the group type allows you to go immediately to the first page of that group in the report.

Report view size    Click to select report view size

Select Report Format Click the desired format for viewing a report.  Note:

  1. PDF (Portable Document Format) is a standard created by Adobe, Inc. To view the PDF file, you must have Adobe's free software called Acrobat Reader version 4 or greater installed on your computer. Get Adobe Reader.
  2. If you select Excel, a prompt window will display. Click Open to view report. If you want to save report, click Save, a Save AS window will display. In the Save As window, Specify the folder in which you want to save the report, specify a file name, and then click Save, the report will be saved as Excel file to your computer.
  3. When you finish viewing a report with PDF or Excel, Click Back icon in the tool bar of the browser window to go back to the original web page.

Show/Hide Graph Click to view a report with or without displaying a graph.
